📞 LPS Calling Dashboard — Caller Playbook

How to use the dashboard, place calls & texts (OpenPhone), log outcomes, trigger HubSpot, and send emails.

2) Login & Access

  • Step 1: Log in here: Affiliate/Caller Login (required).
  • Step 2: Then open the dashboard: https://lpslama.com/lps-call-dashboard-3/
  • If prompted for a password, ask your manager — we will text you the password.
  • If you see “permission denied,” your user may not have the LPS Affiliate role yet. Contact your manager.
Tip: If you’re logged in but still can’t access, log out and back in, then clear your browser cache.

3) Get Next Agent & Lock

  • Click Get Next Agent → the system locks an unassigned agent to you for ~15 minutes.
  • See the agent’s name, phone, email, brokerage, city/state, and a listings toggle with MLS IDs.
  • Switch on Auto-open Call Sheet to open the guided script for each new lock (auto-fills the lead name).
  • Done early? Click Release Lock to let others take it later.
Tip: The Listings toggle shows MLS IDs pulled from Bridge/IDX for context.

4) Make Calls (PC or Phone)

A) From your computer (OpenPhone desktop)

  • Click the agent’s phone (it’s a tel: link). If OpenPhone is default, it launches there.
  • If another app opens, set default handlers (see OpenPhone Guides & Downloads).

B) From your cell

  • Open the dashboard on your phone and tap the number (device dialer or OpenPhone opens).
  • Or manually dial from OpenPhone mobile.

6) Email & SMS Composer (with personalization)

Use the built-in composer: it personalizes messages and logs your activity automatically.

Use the Script & FAQ accordion in the dashboard’s composer card to guide your conversation. It includes the short opener, value props (LPSEstimate + School Search + AI Agent for capture), common objections, and quick answers.

Sending & Logging

7) Save Notes & Status (How you get credit)

  1. Choose a Status: In Progress, Follow Up, Won/Interested, Not Interested, Do Not Call, Lost.
  2. Add a short Note (who you spoke with, interest level, next step/date, objections).
  3. Click Save Note / Status.
  4. (Optional) Fill the Call Sheet and click Save to Notes to append the summary.
Counting work: Contacts made = Notes + Email Sent + SMS Sent. If it’s not saved, it doesn’t count.

8) My Leads List

  • Filter by Status, search by name/phone/email, adjust Rows per page (10–100), sort columns, and page through.
  • Click an affiliate’s name to see their contact info + activity totals.
  • Toggle Listings to see MLS IDs collected from Bridge.

9) HubSpot Sync (What & When)

When you mark a qualified outcome (Follow Up or Won / Interested) and save:

  • We upsert a HubSpot contact for the agent (name, email, phone, brokerage, city/state, MLS Agent ID, active listings).
  • We log a Call activity with your note body and timestamp.
  • (If enabled) We create a Deal “LPSE — {Agent}”.
To make HubSpot reflect your work: Always save the correct status and note right after the call.

10) Payments & Activity Counts

  • The dashboard tracks: Notes, Email Sent, SMS Sent, Status Changes, Locks.
  • Contacts made = Notes + Email Sent + SMS Sent.
  • Your manager sets the pay schedule and whether pay is hourly or per qualified contact.

11) Outlook & Microsoft 365 (QR MFA)

Sign in the first time

  1. Go to portal.office.com and sign in with your @lpslama.com email.
  2. If prompted, set your password and security info.

Set up Microsoft Authenticator (QR code)

  1. Install Microsoft Authenticator on your phone (App Store / Google Play).
  2. On your PC screen, choose “Set up Authenticator” → a QR code appears.
  3. Open the app → + Add accountWork or school → scan the QR code.
  4. Approve the test notification to complete MFA.

Add your mailbox to Outlook

  • Outlook desktop: File → Add Account → enter @lpslama.com → sign in with modern auth → approve MFA.
  • Outlook mobile: Add Account → Work/School → sign in → approve MFA.
Your manager will tell you if you need Outlook at all; many email sends happen directly from the dashboard.

12) Email without Microsoft 365 (WP Mail SMTP)

Yes. Callers do not need individual Microsoft 365 mailboxes to send outreach. The dashboard can send emails using WordPress with WP Mail SMTP connected to a reliable sender (e.g., Amazon SES, SendGrid, Mailgun, Postmark, Brevo).

How it works

  • Manager configures WP Mail SMTP site-wide with one sender (e.g., outreach@lpslama.com).
  • Bulk/email-from-dashboard uses that sender; callers don’t need Outlook/M365.

Deliverability checklist (manager)

  • Create a dedicated subdomain for sending (e.g., mg.lpslama.com).
  • Add the provider’s SPF and DKIM DNS records; set DMARC (e.g., p=none/quarantine while testing).
  • Use a recognizable From Name (e.g., “Luxury Property Solutions”).
  • Set reply-to to a monitored mailbox (e.g., team@lpslama.com).
  • Honor unsubscribe: the dashboard injects an Unsubscribe link that flips opt-out flags.
  • Warm up slowly; avoid sending large blasts on day one.
Bottom line: If WP Mail SMTP is configured, callers can send from the dashboard with proper branding and without setting up Microsoft 365 on their devices.

13) Compliance: DNC & Unsubscribe

  • If asked not to call again, set Status = Do Not Call and save.
  • Email footer contains an Unsubscribe link; when clicked, the system marks them as opted out.
  • Keep notes factual and respectful. Never promise features or pricing you’re unsure of.

FAQ / Troubleshooting

What do I do first every day?
1) Log in here: Affiliate/Caller Login.
2) Then open: Calling Dashboard (ask for the password if prompted — we will text it to you).
Clicking a phone number opens FaceTime/Skype, not OpenPhone.
Set OpenPhone as the default app for TEL/SMS links.
• Windows 11: Settings → Apps → Default apps → OpenPhone → set TEL/SMS protocols.
• macOS: OpenPhone Preferences → “Make OpenPhone the default calling app.”
Or copy/paste the number into OpenPhone.
Do I need a Microsoft 365 mailbox?
Not for dashboard emails. We send via WP Mail SMTP using a shared sender (e.g., outreach@lpslama.com). You only need Outlook if your manager specifically requires a personal mailbox for direct 1:1 threads.
My email went to spam.
Managers: verify SPF/DKIM/DMARC, warm up sending, keep sending domain clean, and limit images/links. Callers: keep copy concise, personalize with first name, and avoid spammy phrases.
